We operate and administer the website www.nidarun.lt and organize the sports events associated with it.
This Policy explains how we process the personal data of participants and website users.
2. Definitions and Scope
This Policy applies to individuals who register for or take part in our events, communicate with us by email or phone, use the registration forms on www.nidarun.lt, and receive informational messages about the events. The Policy does not apply to third-party websites that may be linked from ours.
3. Data We Collect
Through registration and during the event we may process:
Identification data: first name, last name, date of birth, gender, age group, country and city.
Contact data: email address, phone number.
Participation data: chosen distance, bib/race number, results achieved (time, placing), distance, age group.
Payment data: payments are processed via the Paysera platform. We receive and store only the payment fact, amount, date, transaction identifier, payment status, invoice details and the buyer’s identification data (if provided by Paysera). Payment card details, login credentials and other sensitive payment data are not collected or stored by us—they are processed and stored by Paysera in accordance with its rules.
Communication data: messages we send you about the event, responses to your inquiries, registration confirmations.
Minors. If the participant is a minor, the registration must be confirmed by a parent or guardian in accordance with applicable law. Parents’ or guardians’ contact details may be collected solely for registration and safety purposes.
4. Purposes of Processing
We process your data for:
Registration and contract performance — accepting your entry, administering payment, identifying the participant, preparing start materials.
Event organization, transparency and safety — setting up distances and categories, determining results.
Information notices — sending necessary updates about registration, route or schedule changes, safety recommendations, event briefings, etc.
Public posting of results — to ensure transparency and the essence of a sporting event.
Marketing (e.g., newsletters about upcoming events) — only with your explicit consent. You may withdraw consent at any time.
Legal obligations — retention of tax and accounting records.
5. Data Published Publicly
To ensure result transparency, on www.nidarun.lt and/or our partners’ results systems we may publish: first name, last name, age group, gender, city and country, distance, finish time and placing. By registering, the participant agrees that these data will be published.
If you wish to object to publication or request reduced visibility (e.g., initials), please contact us (see Section 11).
Requests will be assessed with regard to the balance between transparency and legitimate interests.
6. Data Recipients
We may share data only to the extent necessary for the purposes above, with:
Timekeeping and results service providers (result accounting and publication);
Payment service provider Paysera — for payment processing; payment data (e.g., card, account, login details) are stored by Paysera; we receive only payment fact and status data (see Section 3);
IT and hosting providers (website support, email delivery);
Law enforcement or public authorities where required by law;
Health and emergency services in case of an incident at the event.
Data is processed within the European Economic Area (EEA).
7. Data Retention
Registration and contact data (name, email, phone) — 5 years from the date of last registration or last active contact.
Results data (time, placing, age group, publicly posted information) — stored indefinitely for historical and statistical purposes.
Marketing data (email, name) — until consent is withdrawn, but no longer than 5 years from consent.
Accounting records and payment entries (held by us only to the extent needed for accounting) — retained for statutory periods (typically 10 years). Full payment data (e.g., card details) are stored by Paysera under its own retention terms.
Incident and inquiry records — up to 3 years from closure, unless a longer period is required.
8. How and When We Contact You
We will confirm your registration by email.
We will send necessary notices about route changes, start times or rule updates, bib pickup, safety and health recommendations, and parking/logistics information.
We may provide information about event dates, times, and registration fees.
After the event we may send links to results, certificates, and feedback surveys.
Marketing messages are sent only with your consent; you can unsubscribe via the link in each email or by contacting us.
Important: essential event-operation messages are not subscription-based (you cannot opt out), as without them we cannot properly provide the services.
9. Your Rights
You have the right to:
Access your data and obtain a copy;
Rectify inaccurate or incomplete data;
Erase data (“right to be forgotten”) where applicable;
Restrict processing in certain circumstances;
Data portability where processing is based on consent or contract and carried out automatically;
Object to processing based on legitimate interests (e.g., public result posting or use of image), and withdraw consent to marketing at any time;
Lodge a complaint with the State Data Protection Inspectorate (vdai.lrv.lt) if you believe your rights are infringed.
When exercising your rights, we may ask you to confirm your identity.

11. Photography and Video at the Event
Events take place in public spaces, so participants may be photographed and filmed. Such material may be used for event communication and publicity (website, social media, press).
12. Changes to This Policy
We may update this Policy at any time. The latest version is always published at www.nidarun.lt/privacy-policy
Material changes will be communicated through our usual channels.
